Campaign Information (Hosts)

  • Event name, type, date, and description.
  • Charity selections and donation pledge amounts.
  • Expected guest counts and campaign settings.

Guest Information

  • Name and email address submitted when participating in a campaign.
  • Charity selection and, for Guest Pays campaigns, the donation amount you choose.

Usage Information

  • Log data including IP address, browser type, pages visited, and timestamps.
  • Device information and operating system.
  • Cookies and similar tracking technologies (see Section 7).

3. How We Use Your Information

We use the information we collect to:

  • Create and manage your account and authenticate your identity.
  • Enable hosts to create, manage, and close campaigns.
  • Send guests campaign confirmation emails and closing notifications.
  • Process and display charity selections and donation summaries.
  • Respond to enquiries submitted through our contact form.
  • Improve the Platform's functionality, performance, and user experience.
  • Detect, prevent, and address fraud, security issues, and technical problems.
  • Comply with legal obligations.

We do not sell your personal information to third parties. We do not use guest email addresses for marketing purposes.

4. How We Share Your Information

We may share your information in the following limited circumstances:

  • With event hosts: Guest names and charity selections are visible to the host of the campaign the guest participates in, so the host can fulfil their donation pledge.
  • Service providers: We use trusted third-party services to operate the Platform, including authentication (Google OAuth via BetterAuth), email delivery, and hosting infrastructure. These providers access only the data necessary to perform their services and are bound by confidentiality obligations.
  • Legal requirements: We may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of Kindly Events, our users, or the public.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

5. Data Retention

We retain your account information for as long as your account is active or as needed to provide you with the Platform's services. Campaign data, including guest entries, is retained to allow hosts to review past campaigns and for audit purposes.

You may request deletion of your account and associated data by contacting us. We will action deletion requests within 30 days, subject to any legal obligations to retain certain records.

6. Data Security

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. These include:

  • Encrypted data transmission via HTTPS/TLS.
  • Secure, hashed storage of passwords.
  • Server-side session authentication — user IDs are never read from client-supplied request data.
  • Access controls ensuring hosts can only view their own campaigns and guest data.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

7. Cookies

We use cookies and similar technologies to operate the Platform. Specifically:

  • Session cookies: Used to keep you logged in during your session. These are essential for the Platform to function and are deleted when you close your browser.
  • Persistent cookies: Used to remember your authentication state across sessions so you do not need to log in each time.

We do not use advertising or third-party tracking cookies. You can control cookies through your browser settings, but disabling essential cookies may prevent you from using certain features of the Platform.

8. Third-Party Links and Charity Websites

The Platform contains links to third-party charity websites where guests may complete donations. These websites have their own privacy policies, and we have no control over their content or practices. We encourage you to review the privacy policy of any third-party site you visit.

Kindly Events is not responsible for the privacy practices of any charity or third-party website linked from the Platform.

9. Children's Privacy

The Platform is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will promptly delete it.

10. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you.
